1. Who we are

AgentBuddy ("we", "us", "our") provides an AI office-manager service for New Zealand trades and small businesses. For any privacy question, contact us at [email protected].

2. Information we collect

Information you give us when you register interest, sign up or contact us, such as your name, email address, phone number, trade and any message you send.

Information created when you use the service, which may include call audio and transcripts, photos you upload, job, quote and invoice details, and the contact details of your customers that you enter or that AgentBuddy handles on your behalf.

Information collected automatically, such as your IP address, device and browser type, pages visited and actions taken, through cookies and analytics tools (we use Google Analytics and PostHog).

3. How we use your information

• To provide, operate and improve AgentBuddy.
• To answer calls, draft quotes and invoices, send communications and follow up leads on your instruction.
• To set up your account, take payment, and provide support.
• To understand how the site and product are used, and to keep them secure.
• To contact you about your account, early access, and (where you have agreed) news about AgentBuddy.

4. AI processing

To deliver its features, AgentBuddy sends relevant content to third-party AI model providers that process it on our behalf to generate results. We choose providers that handle data under their own privacy and security commitments. Please avoid putting in information you do not need the AI to process.

5. Customers' information

When you use AgentBuddy to deal with your own customers, you are responsible for having a lawful basis to share their information with us and for any notice or consent required, including for recording or transcribing calls. We process that information on your behalf to provide the service to you.

6. Sharing your information

We do not sell your personal information. We share it only with service providers who help us run AgentBuddy, for example hosting (Cloudflare), Google services, analytics (PostHog), AI model providers, and our payment processor Stripe, and where required by law or to protect our legal rights.

7. Payments and billing

AgentBuddy is sold as a monthly subscription. All payments are processed by Stripe, our third-party payment provider. When you subscribe or pay an invoice, your card details are entered directly with Stripe and handled inside Stripe's secure, PCI-DSS-compliant systems. We never see or store your full card number.

To run your account we keep billing information such as your plan, subscription status, billing email, the card brand and last four digits, your billing history, invoice and receipt records, and the dates and amounts of each payment (including your first payment, most recent payment and total paid). Stripe's handling of your information is governed by Stripe's own privacy policy at stripe.com/privacy.

8. Refunds, cancellation and free trial

• Free trial. New accounts start with a 2-week free trial and no card is required to begin.
• Subscriptions. After any trial, your plan is billed monthly in advance through Stripe at the price shown when you subscribe (for example NZ$249 per month for the Solo plan) and renews automatically each month until you cancel.
• Cancelling. You can cancel at any time from your billing settings or by emailing us. Cancellation takes effect at the end of your current billing period, and you keep access until then.
• Refunds. Because plans are billed monthly, we do not generally refund part-used months. If you have been charged in error, or you are entitled to a remedy under the New Zealand Consumer Guarantees Act 1993 or Fair Trading Act 1986, contact us at [email protected] and we will put it right.
• Your customers' invoices. Where you use AgentBuddy to send quotes or invoices to your own customers and collect payment through Stripe, those payments are between you and your customer. We provide the tools and the Stripe connection, and standard Stripe processing fees may apply.

9. Storage overseas

Some of our providers, including Stripe, store and process information outside New Zealand, including in the United States. Where we disclose personal information overseas we take reasonable steps, consistent with the Privacy Act 2020, so that it is protected by comparable safeguards.

10. Cookies and analytics

We use cookies and similar technologies for analytics and to make the site work. You can control cookies through your browser settings, though some features may not work without them.

11. Keeping it and securing it

We keep personal information only as long as we need it for the purposes above or as required by law (billing and tax records are kept for the period required by New Zealand law), then delete or de-identify it. We take reasonable technical and organisational steps to protect it, but no system is completely secure.

12. Your rights

Under the Privacy Act 2020 you can ask for access to, and correction of, the personal information we hold about you. Email [email protected] and we will respond as required by law.

13. Children

AgentBuddy is for businesses and is not intended for anyone under 18. We do not knowingly collect information from children.

14. Changes

We may update this policy from time to time. We will update the date above and, where appropriate, let you know.
